CITY OF PEORIA, ARIZONA ARTS COMMISSION OUTLOOK ROOM NOVEMBER 8, 2011 A Regular Meeting of the Arts Commission of the City of Peoria, Arizona, was convened at 9875 N. 85th Avenue, at 5:02 p.m. Members Present: Robert Benson, Lizabeth Gordon, Christopher Hearn, Jack Lytle, Marleejean Johnson, Steve Poe and Pamela Potter Members Absent: none Other Municipal Officials Present: Kirk Haines, Parks Manager; Heidi Gannuscio, Management Analyst; Andre Licardi, Cultural Arts Coordinator and Ellen Comella, Executive Assistant Audience: 2 Note: The order in which the items appear in the minutes is not necessarily the order in which they were discussed at the meeting. CONSENT AGENDA All items listed with a “C” are considered to be routine by the Arts Commission and were enacted by one motion. Minutes: 1C Discussion and possible action to approve/excuse member’s absence from September 13, 2011 regular meeting: Marleejean Johnson 2C Discussion and possible action to approve the minutes of October 11, 2011 A motion was made by Jack Lytle to approve the consent agenda; the motion was seconded by Steve Poe and the motion carried unanimously. New Business: 3R Centennial Plaza Time Capsule Ideas Andre Licardi spoke briefly on the Time Capsule and asked for ideas, possibly pictures of the public art pieces is a small scrap book, maybe before and after pictures of future public art locations. Andre asked the Board to please email him with any and all other ideas within the next week. No action taken 4R Public Art Andre Licardi gave handouts and spoke briefly about two pieces of art that the WVAM would like to temporarily loan to the city for display. The Board discussed concerns regarding durability, liability to the city/risk factor, how it fits into the current collection and how long the loan would be. Christopher Hearn, Marleejean Johnson and Jack Lytle agreed to form a sub-committee to research these factors if Kirk Haines and Andre Licardi were not able to answer the Commissions concerns. No action taken 5R Special Events Andre Licardi advised the Commission of the upcoming Holiday Event to be held on Friday, December 2nd in and around the new Osuna Park from 5:00 – 9:00 pm. We will be hosting a tile making event and we will need volunteers to assist. Reminder of the upcoming Centennial events; three exhibits in City Hall; Art Gallery by WVAM, Pine Room Baseball Hall of Fame photos and PDAA artwork. On February 4, 2012, will be the Centennial Plaza event, we will also need volunteers to assist with the Art Gallery. No action taken 6R Future Agenda Items Steve Poe would like to get an update on the Percent of the Arts before the next FY budget is completed. Jack Lytle would like to continue discussion on bringing musical events to the city as well as getting documentation on the Grant process. No action taken Call to the Public: none Reports from Staff: 1. Grants Update Kirk Haines advised that the Grant recipients have all been contacted and contracts will be forth coming. 2. Council Study Session Kirk Haines advised that the “State of the Arts” Council Study Session is scheduled for December 6th at 5:00 pm. We will send out a reminder to the Commission, please attend. Reports from Commission: Christopher Hearn just wanted to comment on the very nice Peoria sign at 75th Avenue and Happy Valley. Being no further business to come before the Commission, a motion was made by Lizabeth Gordon to adjourn the meeting; the motion was seconded by Steve Poe.
